Privacy Notice

Last updated:

This notice explains how Avid uses personal information when you browse, join, enter a competition, buy Credits, claim a prize, use the affiliate programme or contact us. It also explains your choices and rights.

1. Who is responsible for your information

Avid TCG LTD, trading as Avid Competitions, is responsible for the uses of personal information described here. Our company number is 17113622. Our registered office is 106 Moston Lane East, Manchester, M40 3QL, United Kingdom.

For privacy questions, requests or complaints, email [email protected], use Contact Avid or write to our registered office, marked “Privacy”. You do not need an account to contact us.

Agreeing to our Terms is not blanket consent to use your information for any purpose. Optional newsletter permission and cookie or tracking choices are separate from membership and purchases.

2. Accounts, sign-in and your profile

We receive your email address and the name, image and other profile information you give us. If you choose Google sign-in, Google supplies your account identifier, email, name and profile picture as permitted by that sign-in service. We do not receive your Google password. Email sign-in uses a verification code.

We store account and session identifiers, verification status, sign-in credentials or provider tokens where needed, session expiry, and security information such as IP address and browser details. We use these to provide the account and access you request, and for our legitimate interests in protecting accounts and preventing misuse. Better Auth is the software used within our application to manage authentication.

You can edit your display name, avatar and public winner-name preference in your profile. An avatar is a profile image, not an identity or age-verification check. Our default public name uses initials and the last part of your name; a one-word name remains whole. This reduces how much we display but does not make a result anonymous.

3. Agreements and eligibility declarations

We record when you finish member setup, the contractual terms you affirm and your declaration that you are 18 or over and live in England, Scotland or Wales. The record identifies the wording and revision you affirmed and when you did so. These are declarations, not verified age or residence facts.

We use this information to establish membership and participation eligibility, perform our agreement with you, and retain proportionate evidence in our legitimate interests if a question or dispute arises. Declining the required declarations or agreement prevents new participation; it does not itself erase existing balances, entries or prizes.

For Credit purchases, we separately record the applicable purchase-policy revision, your immediate-availability request, when it was made and how it applies to each order. We also record any choice to stop showing that revision again. That display preference is not marketing or tracking consent. Your personal order confirmation preserves the information applicable to the purchase.

4. Addresses and contact details

When needed for a purchase, online entry, prize claim or affiliate application, we collect the recipient name, address, postcode and country you supply. Prize delivery can also involve a telephone number and delivery instructions. We use these to administer participation and deliver the prize or service requested.

For our Registered address check, we send the postcode to Postcodes.io and retain the result of the check. We do not send that service your full address or account email. This check establishes information about a postcode; it does not prove who lives there.

An account address and a prize's delivery address are separate records. Correcting current details does not silently change another prize or the historical record of where a parcel was sent. We retain submitted delivery details and staff corrections where needed to handle the delivery and related queries.

5. Credits, payments and refunds

We record Credit-pack selections, prices, currency, orders, payment-provider references and status, Credits added or spent, and the information needed to reconcile payments. Stripe handles payment details through Checkout and its payment services. Avid does not store your full card number or security code in its payment records.

Refunds and payment disputes can involve your request and reasons, payment-provider information, reserved or adjusted Credits, staff decisions and correspondence. We process these records to perform the purchase and resolve it, meet applicable accounting and legal obligations, and pursue our legitimate interests in accurate records, fraud prevention and handling claims.

Stripe also uses information for its own payment, security and regulatory purposes as described in its privacy information. A payment dispute may involve your bank, card network and other payment participants. A refund or account restriction does not automatically erase the original payment or participation record.

6. Competition entries and promotions

For each accepted entry we record the member, competition, answer, entry numbers, time, entry route and funding used. Postal entries use the registered email, competition reference and answer supplied on the item, together with the resulting staff acceptance record. Physical postal handling takes place outside the application; we do not scan every item into an electronic mail register.

We use participation records to apply eligibility and limits, evaluate answers, allocate Instant Wins, run Main draws and show your history. This is necessary to provide the competition you entered. We also retain proportionate audit and dispute evidence in our legitimate interests in fair and accountable operation.

Promotions have separate campaign participation, requirements, purchase qualification, award, expiry and usage records. Direct awards also retain an internal operator reason and audit trail. We use successful purchase information where an offer requires it. Having an account, a promotional offer or a competition entry does not subscribe you to marketing.

7. Referrals and the affiliate programme

If you apply, we collect your full name, account email, current address, how you intend to share Avid, the terms you agree to and the date of agreement. We retain the application, requested information, decisions and relevant messages to assess and administer your application and perform the programme agreement with you.

When a new customer confirms a referral during their first account setup, we record the customer and original referrer. We retain the connected referral relationships needed to establish where each person sits in the chain, even if someone joins or leaves the programme later. Visiting a referral link alone does not establish this relationship. Optional activity tracking is not used to decide who referred someone.

We use qualifying purchase information to calculate cash commission and promotional entries for eligible referrers. Records include purchase references, the amount relevant to the reward, its applicable terms, holding period, status, refunds or disputes, and any issue, use or expiry of a promotional entry. We use these records to perform our agreement with affiliates and in our legitimate interests in accurate attribution, fair rewards, preventing misuse and resolving errors or claims. Those interests also apply to the necessary referral and purchase information about customers who are not affiliates.

Affiliates receive their own reward and payout history, not access to another customer's private account, contact details or full purchase history. A reward amount or timing can still allow someone who knows the customer to infer a purchase. In particular, a percentage commission can reveal the qualifying purchase value even without showing the buyer's name.

We first request bank details when approved available cash reaches the programme's payout threshold. We do not collect them in the application. Saved details include the account holder, supported bank-account information and a protected history of changes. Full bank details are encrypted in our records; normal account views show a masked summary. Staff access is limited to authorised payment work and is recorded. Necessary bank details are used to make approved transfers outside the Avid application, reconcile their outcome and resolve payment queries.

We retain payout requests, the destination used, staff decisions, payment references and relevant communications. Changing current details does not replace the destination of a payment already being made. We may request proportionate information needed to resolve an application or payment query; a postcode check or saved bank account is not proof of identity or account ownership. Programme decisions and payment notices are service messages, separate from optional marketing.

Leaving the programme or closing an account does not automatically erase referral relationships, accepted terms, reward history or payment evidence still needed to resolve entitlements, reconcile transactions, handle claims or meet applicable accounting and legal obligations. We consider what identifiers and financial evidence remain necessary separately from application details or obsolete bank information. Data requests and copies of records must also protect other people's information and security details.

8. Results, prizes and delivery

We keep draw and Instant Win evidence, the winning entry and member, claim status, applicable deadlines and prize-administration history. Public result information includes the winner's displayed name and relevant competition or prize details. We use this limited publication in our legitimate interests in demonstrating real outcomes; winning does not give us blanket permission to use your photograph or story in advertising.

We use claim and delivery information to contact winners, arrange fulfilment, record dispatch and tracking, and deal with corrections or delivery problems. Relevant details are shared with staff and the carrier or fulfilment provider arranging the delivery. Private addresses and internal abuse concerns are not published as part of the normal result.

The application applies entry and answer rules and allocates Instant Wins automatically; Main draws also use recorded selection mechanics. These processes determine participation and prizes. Contact us if you believe information or processing was wrong and want a person to review it. A review does not mean that a valid historical draw will be rewritten or a different winner selected.

9. Support, complaints and protecting the service

Contact messages contain the name, reply email, message and references you provide. They are delivered to our staff mailbox. Staff may email you from the admin application; we keep the recipient, message, staff sender and delivery-attempt information. These communications are used to answer the request, perform relevant contracts, meet rights and complaint obligations, and protect the service from misuse.

Please include only information needed for your query. Knowing an email address is not proof that someone owns an account, so we may ask for proportionate checks before disclosing personal records or making an account-related change.

Security and audit records can include failed operations, account restrictions, access information and staff actions. We use these for our legitimate interests in preventing abuse, investigating errors and protecting people and the service. Information about suspected crime or other sensitive matters requires additional legal grounds and safeguards where the law requires them; ordinary membership agreement is not permission for unrestricted investigation.

10. Newsletter and marketing

Our newsletter is optional and separate from your Avid account. We use the email address you submit to send a confirmation request. Once you confirm, we record your subscription, the permission wording and relevant dates, and use your permission to send Avid news, competitions and offers.

You can withdraw that permission using the unsubscribe link in a newsletter, the unsubscribe page or by contacting us. Withdrawing does not affect the lawfulness of earlier messages. We may keep the minimum permission and unsubscribe record needed to respect your choice and address complaints. Necessary account, payment or prize messages are separate from marketing.

Authorized staff can export the active subscriber list for sending newsletters. Newsletter records are not automatically matched to the member database, and changing your account email does not automatically change a separate subscription.

11. Cookies, browser storage and security checks

The site uses cookies or browser storage for sign-in, keeping the page you intended to visit, preserving entry selections, and remembering preferences. Security checks also process browser and connection information to distinguish legitimate use from automated abuse.

Cloudflare Turnstile protects public forms. Cloudflare receives technical signals such as the IP address, browser and connection details. Avid verifies the challenge token; it does not send your Contact message or newsletter form body to that verification service.

Avid records selected page views and interactions to understand how the service is used. Before you allow cookies, and after you reject them, these activity records use limited event details, a random short-lived session identifier, your preferred language and, where a trusted source is available, country. They exclude your member identifier, IP address, precise location and browser or device details. Page views use broad page categories; activity records do not include raw page URLs, query strings or referrers.

Allowing cookies through Manage cookies permits activity records to include your member identifier when signed in, plus general browser, device and operating-system information. We remember your choice so it applies across page visits. You can change it through Manage cookies; rejecting stops this additional information being added to new activity records. It does not retract records already sent. Activity session identifiers change when the applicable consent or signed-in identity changes and expire after 45 minutes without activity. These activity choices are separate from necessary account and security processing.

Contractual agreement and completion of member setup do not authorize optional tracking. Non-essential storage or tracking requires the applicable permission or a specific legal exception with its conditions met. Necessary security processing is assessed separately from audience measurement.

12. Who receives information

Our staff and suppliers receive information needed for their work. The services involved include Stripe for payments, Resend for email, Google when you choose its sign-in service, Cloudflare for Turnstile, and Postcodes.io for postcode checks. Hosting, database, image-storage and technical-support services support the application; carriers and fulfilment providers receive the information needed to deliver prizes. Banks and payment participants receive the details needed to make and receive an affiliate payout.

We store uploaded profile images and competition media through our configured image service. Preparing an image for upload does not make its visible contents anonymous. A Google profile image may continue to be loaded from Google. Technical logs, mailbox copies, staff exports and backups can contain relevant personal information as well as the main application records.

We may disclose necessary information to professional advisers, payment participants, regulators, courts or authorities where there is a proper legal reason. If the business changes ownership, any transfer of personal information must have an appropriate legal basis and safeguards. We do not sell your personal information.

13. Processing outside the UK

Some suppliers, their support teams or subprocessors may process information outside the UK. A UK-facing service or UK domain does not mean that every copy stays in the UK.

Transfers subject to UK data-protection rules require an applicable adequacy arrangement or appropriate safeguards, such as the UK International Data Transfer Agreement or UK Addendum, together with the assessment required for the transfer. Where a specific legal exception is used, its conditions must be met. Using Avid or agreeing to the Terms is not blanket consent to overseas transfers.

Contact us for information about the recipients and transfer arrangements relevant to your data, or to request a copy of applicable safeguards. Information protected for security or other people's rights may need to be withheld or redacted.

14. How long information is kept

Retention depends on what a record is needed for. We take account of the active relationship, unresolved transactions or claims, applicable accounting and legal requirements, the period in which a claim may reasonably be brought, and whether the purpose can instead be met with less information. There is no single lifetime applied to everything on your account.

  • Account and access information is needed while providing and protecting the account. An expired code or session is no longer usable, but expiry is not a promise that every associated security record is immediately deleted.
  • Payment, entry, prize, affiliate and agreement evidence can remain necessary after an account closes to reconcile transactions, resolve claims and meet legal obligations. Keeping an audit record does not require keeping every profile detail or publishing a winner indefinitely.
  • Support messages, delivery details, physical postal items and security logs are retained for the relevant handling, complaint or security purpose. An active dispute or legal requirement can justify longer retention of the records concerned.
  • Newsletter permission and unsubscribe evidence is kept to administer the subscription and respect withdrawal. An offer or confirmation-link expiry does not itself erase historical records.
  • Media, mailbox copies, exports and backups have to be considered alongside the main database. Copies awaiting normal replacement or deletion must remain protected and must not be repurposed merely because they still exist.

15. Your rights and choices

Depending on the processing and the applicable law, you can ask to access your personal information, correct it, erase it, restrict its use, receive or transfer eligible information in a portable form, or object to processing based on legitimate interests. You can withdraw optional consent at any time. You have an unconditional right to object to direct marketing.

These rights are not all absolute. For example, a lawful accounting obligation or the need to establish or defend a claim may require particular records to be retained. We will explain any applicable restriction rather than treating an account closure as automatic erasure of every record.

You can edit available profile and address details in your account. For other requests, use Contact Avid or our privacy email. There is no requirement to finish onboarding or remain unblocked to make a request. We may ask for information reasonably needed to verify identity or clarify the request. We respond within the applicable statutory period, normally one month for a data-rights request, subject to permitted extensions or pauses.

If you do not supply information necessary for an account, purchase, valid entry or delivery, we may be unable to provide that particular service. Declining optional newsletter permission does not prevent participation.

16. Privacy complaints and changes to this notice

If you are concerned about our use of your information, contact [email protected] or use Contact Avid. We acknowledge data-protection complaints within 30 days, make appropriate enquiries, keep you informed as appropriate and provide the outcome without undue delay. This is distinct from the timetable for exercising a data right.

You can also complain to the Information Commissioner's Office, the UK data-protection regulator. You do not lose that right by raising a concern with Avid first.

We update this notice when the information we need to explain changes. The date above identifies this revision. A change to the notice does not itself create new consent or replace any separate agreement or permission required for a new use.
